About the role

Description:

Hours - Part Time 0.5 FTE, Monday and Friday 0630 - 1700, 20 hours weekly

1.1. Work collaboratively with Hospital staff that include Charge Nurses, Pre-Authorization Testing Nurse,

Medical Clinic Surgery Schedulers, Shift Supervisor, and all perioperative team members (i.e. Surgical

Services Department staff and Medical Staff who perform surgical procedures) to schedule procedures,

organize resources needed for procedures, receive Hospital patients and patient support persons, assist

such patients and persons with Department access, and provide indicated administrative assistance

within the Department.

1.2. Surgery Scheduling

• After verification that applicable insurance company pre-authorization has been obtained, schedule

surgeries and other specialized procedures in accord with Department policy.

• Confirm that scheduled surgeries concur with applicable surgeon block times, and verify that

adequate resources (e.g. Department staff, Operating Rooms, and required equipment and supply)

are available for such surgeries.

• When changes to surgery scheduling are necessary, organize, reschedule, and update such changes in

schedules, and provide patients with indicated telephone follow-up about changed dates and times.

1.3. Patient Access

• Serve as Department receptionist and representative through polite interaction with patients, patient

support persons, and patient visitors.

• Professionally answer telephone calls and transfer such calls within the Department and to other

Hospital Departments.

• Accurately register and admit patients who present for Surgical Center or Family Birthing

Center services.

1.4. Administrative Assistance

• Order and stock supplies needed within own work area.

• Complete specialized projects or reports as assigned by Director.

• Maintain strict confidentiality about matters related to Hospital human resources, fiscal concerns,

or meetings that may be overheard or witnessed in or around Charge Nurse or Director offices.

• Perform additional administrative assistant functions as directed.

1.5. Perform other duties assigned by Director.

Qualifications:

Qualifications/Education/Requirements:

  • Effectively collaborate with Hospital staff and medical staff members toward provision of pre-operative, inter-operative, and post-operative care to surgical patients.
  • Protect patients' rights by maintaining confidentiality of personal, medical and financial information per HIPAA
  • Must be able to communicate effectively and have excellent interpersonal skills
  • Must be highly motivated
  • Work well with a team and have the ability to function in a fast- paced environment
  • High School diploma or equivalent is required
  • Previous scheduling experience in a health care environment is required (e.g., physician office, clinic or hospital)
  • Experience in customer service is very desirable
  • Hospital registration or admitting experience is desirable
  • Knowledge of medical terminology and familiarity with medical diagnostic procedures, surgical procedures, and health care billing and authorization understanding is required
  • Must be able to type 40+ wpm Strong computer skills.
  • Familiar with Excel, Word, Windows, and EPIC EHR a plus
  • Must have excellent organizational skills and be detail oriented
  • Must be highly skilled in verbal communication, problem solving, prioritization and organization
